COVID-19 Information

 

All Bookings made during COVID.

Any COVID related cancelations within One week before arrival date:

  • We will move your booking to another available retreat date free of charge

  • Or, If you would like to cancel the booking completely you will received 75% back of the booking cost

We HIGHLY recommend travel insurance.

If for any reason you display signs/symptoms of COVID during the retreat, for your own and the other guests safety you would immediately be asked to go and have a test. If you are COVID positive then you would not be able to continue participating and you will have to self isolate in your suite for the duration of your stay, or for the length of time you need to isolate for.

We recommend that you check your government website and the rules regarding quarantining and insurance guide-lines if you contract covid abroad (in Spain ) whilst on holiday/retreat. It will be at your own risk and any additional nights that need to be added on after your departure date would be an extra cost that the guest would incur for having to extend their stay, we would not be liable to pay this cost.

We will be there to guide you as much as possible through this situation and if any medical help is needed.

It is very important that we all understand these are uncertain times, and that we need to take extra security and safety measures to make sure if any unfortunate circumstances occur we understand the procedure.


During the Retreats we will provide:

x1 mask pp (we also think it is best for you to bring your own mask) These are to be worn while we are driving and in the supermarkets.

 


TERMS AND CONDITIONS. 

1. We are looking forward to your visit. Please read through the terms and conditions and confirm that you have read and understood all of the following information by submitting this form. If you have any questions, please do not hesitate to contact us at thefitretreat@hotmail.com

  • I understand that my visit to T.F.R. operates on my chosen dates and I am aware of the package and activities provided.

  • I am in good health and able to participate in the activities at T.F.R.

  • All the correct information is to be given at the time of booking.

  • I am aware that T.F.R. does not provide airport transfers and I will have to book this separately. T.F.R. can help you pre-book your transfer.

  1. Booking process: Fill out a medical declaration form and submit T&C's, payment request for the amount discussed then you will receive a link to a Guest form, once completed a kit list will be sent to you.

  2. T.F.R. is an all year round retreat.

3. At T.F.R timings and activities are important. If for any reason you do not turn up or arrive late to our activities, we are not obliged to wait for you and we will continue with our normal routine. 

2.1. We will be doing a lot of our workouts in different places. Transport will be provided and you will be taken to and from the location. This is why it is important you are on time and ready to go.

2.2. While at T.F.R., you are not obliged to participate in any of the physical activities provided, we do encourage you to take part, but the choice is yours. There will be no refund for clients who do not want to participate in any of the activities during their stay. 

2.3. Risks may occur when participating in physical exercise. If you sustain or claim to sustain any injury during/after physical activity or appear to be unwell, tired or unable to participate for any reason, you must tell the trainers immediately. They will review the situation and decide what is best for you and your health, and whether you are able to continue or advised to stop.

2.4. All workouts and activities provided by T.F.R. are undertaken at your own risk. T.F.R will make sure that all workouts and activities are safe and will advise you of any potential dangers. If you take part in our activities, it is at your own risk. 

2.5. There will be no refund if you sustain an injury or are not able to participate for any other reason during your stay at T.F.R. Your travel insurance should be able to cover any injuries or unforeseen problems which may occur during your stay.

2.6. T.F.R. guests are advised that there can be extreme sunlight and high temperature conditions in Fuerteventura. Increased fluid intake, sunscreen and hats are strongly advisable. Water will be provided during activities. We recommend you bring high factor sun creams and suitable hats. This will help prevent causes of sunburn, sunstroke, dehydration, fatigue and some more serious matters (heat exhaustion, sun stroke, fainting).

2.7. Not following instructions safely, and/or you are behaving or acting unreasonably or in a threatening manner during your stay may result in you being asked to leave without refund.

2.8. The Fit Retreat reserve the right to refuse any guests or returning guests if we feel they would effect the group in a negative way. If there are certain issues that need to be dealt with, a doctors note may be required. We reserve the right to refuse any booking. 

2.9. T.F.R. fully advise you to have the necessary travel insurance recommended for this type of holiday. It is very important, but it is up to the guest to purchase their own personal travel insurance. If you do not have any or don’t have the correct insurances, we take no responsibility for any unforeseen problems. 
 

3. Cancellation charges and payments

When booking T.F.R. At the time of booking 50% will be paid via bank transfer to The Fit Retreat ltd, you will then receive a booking invoice after we have received the payment. If you want to pay via PayPal this is an option but there will be an extra charge of 3% to use this service.

The the full amount is due 4 weeks before the arrival date. If for any reason you have to cancel your booking these charges will be applied based on the number of days before your arrival date, that the written notification of cancellation is received via email. 




  • 10-12 + weeks before your arrival date 80% of what you have paid will be refunded to you

  • 8-10 weeks before your arrival date 70% of what you have paid will be refunded to you

  • 6-8 weeks before your arrival date 60% of what you have paid will be refunded to you

  • 4-6 weeks before your arrival date 50% of what you have paid will be refunded to you

  • 2-4 weeks before your arrival date 40% of what you have paid will be refunded to you

  • 1-2 weeks before arrival date 25% of what you have paid will be refunded to you

  • 7 days or less prior to arrival date: No refunds

  • If you do not show up or leave the retreat early, there will be no refunds




  • 3.1. There is also an option to change your date to another retreat date (depending on availability) free of charge. You will only be able to change to another date one time free of charge. If you have to change to another date again, there will be an admin fee of 100€.

3.2. We try to not cancel a confirmed booking, but reserve the right to do so. If we cancel a confirmed booking before your arrival, T.F.R. will offer the guest a choice of a full refund or another available date. No refunds on flights we will be given because this should be covered by your own travel insurance. We will take into consideration the length of notice guests receive. We will pay you reasonable compensation if appropriate, or money towards booked flights, but this is having regard to the nature of the cancellation and length of notice given.

3.3. If the cancellation was caused by unforeseen circumstance and out of T.F.R. control, there will no refund but you will be able to transfer your booking free of charge to another available date. Unforeseen circumstances should be covered in your Travel insurance, (Example: air strikes, weather delays). 3

3.4. If within 3 weeks of your arrival date there are less than three guests attending, we will make you aware of this and we have the right to cancel the retreat. We will offer to move your booking to another retreat date, or a full refund of the booking cost will be given. There is also another option to wait until a week before the arrival date so we can try and fill the spaces but if there are still less than three guests a week before the arrival date, we have to cancel the retreat.

3.5. At T.F.R. we will try and keep our activities / services as they are stated at the time of booking. If we are unable to provide some of our services, we will make every possible effort to arrange alternative arrangements.

3.6. If there are any changes during your stay, we will make sure there are always alternative options. For example, if a certain afternoon activity cannot be carried out due to the weather, then we might have to change our activity plan and do another activity instead.

 

4. The facilities and activities we offer on our website are designed for all types of individuals. They are not personalized, nor for one body type. We have designed our workouts for group training and not for individuals.

4.1. T.F.R. staff are licensed personal trainers/instructors and will do their best to adapt any exercises if needed. They will not be able to be with one client solely during their time at T.F.R. We provide group circuit and HIIT sessions. During the hikes, it is very important to listen to your instructor/s at all times and for the guest to be aware that we will be hiking. So heights will be involved and if any accidents do happen this should be covered under the guests Travel Insurance. Our Yoga sessions are prepared by professional and experienced instructors and there sessions will vary between relax and flow sessions. 

4.2. Instructors will do their upmost to ensure the best possible workouts and to solve any problems that might occur to the best of their ability. Booking at T.F.R. signifies your acceptance of the week’s activities and services.

4.3. You will be provided with fresh towels and linen when you arrive at T.F.R., and the towels will be refreshed once during your stay. There are also washing and iron facilities at the Retreat.

4.4. Towels for the pool area are also provided.

4.5. Towels provided at T.F.R. must stay on the premises and not be used at the beach or outside of the retreat. 

4.6. We also expect towels or any belongings of T.F.R. not to be taken and remain T.F.R. property. 

4.7. We provide books in the lounge area, and we ask our guests to be respectful and read them with care. Guests are not permitted to take the books home with them and we ask them to return them once finished.  

 

5. At T.F.R., we want to make your stay as pleasurable and wonderful as possible, and to do this we need you to obey some standard rules for yourself and others to enjoy the stay. No smoking in the villa (a designated area outside will be provided for any smokers), drinking in moderation, respecting all of T.F.R facilities, equipment and staff. We expect good behaviour and respect from all of our guests. Failing to behave appropriately could result in a fine (depending what is damaged or any unruliness) or you being asked to leave T.F.R.

5.1. If you use the communal kitchen, we expect you to clean up after yourself, keep it tidy and label anything that goes into the client fridge / cupboards. If you break anything accidentally, please let us know so we can replace it or have it fixed.

5.2. As T.F.R. has communal areas, we ask you to be mindful and respectful of the other people in the house at T.F.R. and to keep noise to a suitable level for everyone. This is a place to relax, recuperate and train hard.

5.3. T.F.R. will be providing x5 pre-workout light breakfasts and buffet style healthy brunch x5 days post-workout during your stay. We also provide x1 evening meal in one of our local restaurants. We will be asking you to provide us with any dietary requirements so we can arrange suitable options for you during your stay.

5.4. Any dietary requirements not stated will be at risk or fault of the person/persons.
 

6. Personal belongs

6.1. There will be a safe box in your room and a key to lock your door. It will be your responsibility to keep your belongings safe or in your safety box and lock your doors. We are not liable for anything being misplaced, lost or stolen. Please make sure your insurance covers this. The only people able to have access to your room will be the staff for cleaning/changeover services.

6.2. We are a small business with only up to 6 guests at a time attending T.F.R. weeks. We ask that if you have any problems or are suspicious of anyone while staying at T.F.R. that you please make us aware asap so we can review and deal with the situation with caution.

 

7. I certify that I will fill in my medical declaration form/questionnaire honestly and to the best of my knowledge. I agree that it is my responsibility to inform T.F.R. of any conditions, or changes in my health.

7.1. I am able to take part in the activities or similar activities stated at the time of booking, and I am unlikely to suffer any illness or injury during my stay at T.F.R.

7.2. Failure to disclose any information that is required in the forms given may result in T.F.R. terminating the contract and withdrawing the guest from the activity / service on the grounds of incorrect information. The guest would not be entitled to any refund of payments.

7.3. The form/questionnaire to be filled in is personal to the guest and cannot be filled in or signed by anyone else. Should there be any changes, to the client it is the client’s responsibility to inform T.F.R. in writing.

We will use the personal information you provide to:

  • Tailor your stay

  • Process your payment for such services.

  • Send you emails regarding your stay at T.F.R.

  • Inform you of any future offers/promotions that might be available.

The Fit Retreat will not share any of your personal information or payment details with a third party. Any personal information you declare will be considered strictly confidential and treated as such.
